Basic Functions & Responsibilities

As an initial point of contact with the college, the Admissions Specialist will champion our values of customer-centric care and student success.  This position is responsible for attracting adult learners, promoting FVTC, and converting prospects into enrolled students in response to workforce needs. This position provides general course, program, and administrative information and guidance (Admissions, Financial Aid, and Registration) to entering students to ensure they have the resources necessary for transition to one of the College’s occupational programs.  The employee will work closely with Counseling and Advising Services, Enrollment Services, Diversity and Inclusion Services, Educational Support Services, Student Financial Services and academic departments and programs to ensure appropriate services and resources are provided to students.

Essential Job Functions

  1. Develop and maintain strategies to engage and convert prospective students to enrolled students. This requires marketing to and FVTC representation to local employers, special events, community organizations, etc.
  2. Build and maintain relationships both in person and through the utilization of technology with adult learners to include the college’s customer relationship management (CRM) system. This includes follow-up with contacts via phone, email, text, etc.
  3. Utilize the CRM system to enter leads appropriately and ensure targeted communication is distributed per established rules to prospective students. This includes collaborating with the CRM Enrollment/Retention Specialist to provide feedback to influence strategies to successfully meet the needs and demands of customers.
  4. Provide one-on-one and/or group intake sessions for incoming students to discuss FVTC program requirements, scheduling classes, paying for college, and developing a plan for transition from their current situation to being an enrolled student. This may include collaboration with faculty and other departments across FVTC.
  5. Navigate admissions processes by program and have knowledge of MyFVTC to assist students in completing their checklists, and registering for  new student registration and program-required orientation sessions.
  6. Serve as a point of contact and resource following admissions testing to assist students in navigating their next steps toward enrollment. This requires comprehension of testing, scores and knowledge of the necessary preparation courses for programs.
  7. Collaborate with Counseling and Advising to develop a plan for undecided adult students who need career development.
  8. Assess student needs and provide referrals to college and community resources to support the educational goals of the student. This includes the coordination of transitional services such as Counseling and Advising Services, Educational Support, Diversity and Inclusion Services, TLC, etc.
  9. Disseminate FVTC marketing material and publications in all outreach efforts to include local employers, WIOA partners and job centers.
  10. Serve as coordinators for major student recruitment events. Assist in scheduling, coordinating and hosting individual and group campus visits for prospective students and families in conjunction with external recruiting activities and the College's enrollment management plan.
  11. Evaluate events, programs and conversion efforts and make recommendations for improvement for adult markets.
  12. Work with other departments at FVTC to develop future marketing plans. This may include outreach at job centers, career fairs, etc.


Secondary Job Functions

  1. Based on market conditions, provide input to the marketing staff on the development of FVTC marketing communications directly related to student recruitment.
  2. Monitor FVTC marketing material and disseminate as needed.
  3. Assist in the recruitment, training, and supervision of Student Leaders and interns.
  4. Other duties as assigned to include involvement in strategic planning activities and initiatives.

Qualifications, Training and Experience


  1. Associate Degree in a related field is required AND
  2. A minimum of two years of recent, related experience which includes responsibility for working with students in providing entrance and program information and guidance in a college educational or transitional program, AND
  3. A minimum of two years of recent, related experience providing information to students on college admission, financial aid, or registration processes, OR
  4. An equivalent combination of education, training, and experience related to sales and marketing.
  5. Demonstrated experience in working with a diverse adult student population is required.
  6. Knowledge and experience regarding the needs of students with multiple educational barriers is required.
  7. Ability to design data collection systems and utilize data to evaluate/improve service delivery is required.
  8. Intermediate skills in Microsoft Word, Excel and presentation software. Experience working with an electronic student records system is required; preferably PeopleSoft. 
  9. Valid Driver’s License is required.
  10. Native level fluency (written, oral, and auditory) in Spanish or Hmong Language preferred.

Special Instructions to Applicants

Please Note: The training schedule for this position will be from 9:30am - 6:00pm Monday through Thursday, and 7:30am - 4:00pm on Friday for the first 2-3 months or until the employee is fully trained. After that, they will resume the normal work hours of 10:30am - 7:00pm Monday - Thursday, and 7:30am - 4:00pm Friday. Flexibility in schedule is required.
