  • Basic Functions & Responsibilities

    This position performs administrative support duties for the Emergency Medical Services Department. Duties require knowledge of College operating procedures, information systems, and frequent communication with the Emergency Medical Services Section of the Wisconsin Division of Health and Family Services, department instructors and aides, and customers.

    Essential Job Functions

    1. Receive visitors, answer telephone calls, dispense class information, make appointments, maintain files, and make meeting arrangements.
    2. Serve as the primary department liaison to the Emergency Medical Services Section, Wisconsin Department of Health and Family Services, obtain course approval numbers, and maintain course and student records. Assist with the Training permit process.
    3. Maintain student program prerequisite files, manage EMS student database, and PeopleSoft program checklist, permission to register list and E*Value.
    4. Create and monitor reports for missing grades, class/course errors, unknown instructors, and zero enrollments.
    5. Receive requests for training, schedule courses, generate class sections, and maintain department training schedule. Generate course completion certificates for EMS classes (except AHA training).
    6. Maintain database of EMS service providers, internal clients for distribution of EMS class list, and mandated EMS
    7. Prepare purchase requisitions for EMS. Facilitate billing authorizations between service organizations and third-party billing.
    8. Prepare letters, forms, meeting minutes, tests, brochures, and student evaluation of instructors.
    9. Maintain filing system for EMS courses as required by the WTCS and DHFS.
    10. Maintain security of National Registry First Responder exams and proctor exams.
    11. Orient new EMS employees on department specific policies and procedures.
    12. Work with Advisory committee members to set up meetings, take minutes, distribute minutes and agendas.

    Secondary Job Functions

    1. Order desk copies of textbooks and ancillaries for department instructors.




    Qualifications, Training and Experience


    1. Associate Degree in Administrative Assistant or related area, AND
    2. Two years related work experience, OR
    3. An equivalent combination of related education, training, and experience.
    4. Intermediate skills in Microsoft Office, Excel, and Access.
    5. Valid Wisconsin Driver’s license.
